Terms and Conditions

  • The photos/videos content created on Bhatakna’s trip (by Bhatakna’s content creators or clients) is the property of Bhatakna and can only be used by Bhatakna for advertising across media platforms. None of the digital content can be used by anyone for advertising/commercial use without obtaining the rightful permissions by Bhatakna.

  • Full Payment of the trip cost must be completed before the trip begins. Pending Payments may eventually lead to the Cancellation of the trip.

  • The IDs shall all be verified before boarding. No boarding shall be entertained without a valid Govt. ID.

  • The Transfer of the bookings is not permitted. Only the names mentioned at the time of confirmation shall be allowed to travel.

  • People travelling with Bhatakna for International travel are advised that their passport must be valid for at least six (6) months from the date of intended travel and not damaged in any way. Bhatakna does not take any responsibility for clients who book travel with passports that do not meet this requirement. It is the responsibility of the client to ensure that their passport is valid for the required period before making any travel bookings through Bhatakna. Any denial of entry at immigration, and any additional cost arising out of alternate arrangements for deporting has to be borne by the travellers.

  • No refunds shall be made towards any inclusion(s) not availed by the Client.

  • Travelers must take care of their luggage & belongings. The management shall not be responsible for any damage or any missing items along the tour.

  • The time of Departure is stated & fixed. All travelers must update their status with the Trip coordinator(s), & report at the pickup point 30 mins prior to the scheduled departure.

  • The Air Conditioning will be switched off in the hills. Also, during the trip, it shall be the Driver’s discretion to put off the AC as & when required, considering the travelers’ safety & ease of travel along uneven & dangerous routes.

  • Our time of departure is fixed must depart by the stated time & keep their status updated with the trip coordinator(s). Anyone missing the bus shall not be eligible for any refunds. We shall call you twice before the schedule departure.

  • Drinking & Smoking are strictly prohibited along the tour due to health & safety concerns. Our tours involve physically demanding activities such as trekking, camping at high altitudes and we recommend for you to be in the right shape to make most of them.

  • Bhatakna is a modern travel community, organizes and arranges the adventure trip to the mountains which has the risk of accidents, loss of life, bodily injury, financial repercussions, etc. Neither the  Bhatakna nor its agents or affiliated entities shall be responsible or liable for any accident, bodily injury, illness or death, loss or damage to baggage or property, or for any damages or claims whatsoever arising from loss (including loss of possessions and loss of enjoyment), negligence or delay from the act, error, omission default or negligence of any person not its direct employee or under its exclusive control.

  • No act of misconduct or indiscipline shall be tolerated on the tours. We are a cordial travel community and we aspire to bring to you a hassle free and memorable experience.

  • Bhatakna shall not be responsible for any delays or alterations in the program or indirectly incurred expenses in cases such as Natural Hazards, accident, breakdown of machinery, weather conditions, landslides, political closure or any untoward incidents.

  • We do not provide any insurance policy to cover for the expenditure on sickness or accidents or losses incurred due to theft or other reasons.

  • Numerous factors such as weather and road conditions the physical ability of participants etc. may bring alteration in the itinerary. We reserve the right to make necessary changes in the schedule in the interest of safety, comfort and general well-being!


Refund Policy & Cancellation Policy


We understand the pain of cancelling a trek. As travelers, we always look forward to trips, and after months of training and planning, if we have to cancel our trip, there’s no greater disappointment than that. 

This is why we have a traveler-friendly cancellation policies.



  1. Kindly complete your pending payment before 5 Days of the departure of the trip.
  2. Incase you fail to pay the second installment the organizer holds the rite to cancel your booking 
  3. Boarding will be denied incase of non payment and the seat will be alloted to somoene else
  4. Incase of non payment the advance amount paid is not refundable


Our Cancellation and Refund Policy When You Cancel A Trip: 

Cancellation for Backpacking Expeditions and Long Treks(More than 4 nights):

  1. Cancellation 30 days before the starting date of the trip — Get your full trek fee back in an Bhatakna Cupon OR get a monetary refund with 15% cancellation charges.
  2. Cancellation between 30 days and 20 days before the starting date of the trek — Get 80% of the trek fee in an Bhatakna cupon OR get a monetary refund with 50% cancellation charges.
  3. Cancellation less than 20 days before the starting date of the trek — No monetary refund, get 50% of your fees in an Bhatakna Cupoun .
  4. Cancellation less than 15 days to Departure:No refund will be provided for any amount paid.
  5. Cancellation incase your not well and could not join:Incase you are unwell it is advisable to take rest however kindly note that you can find a replacement for yourself no refund or transfer is applicable incase of any illness or covid cases

Cancellation for Sahyadri Treks/Campings and weekend Backpacking trips:

  1. Cancellation 30 days before the starting date of the treks — Get your full trek fee back in a TrekPanda Cupon OR get a monetary refund with a 15% cancellation charge on full trek amount
  2. Cancellation between 30 and 20 days before the starting date of the trek — Get 80% of the trek fee in a Bhatakna cupon OR get a monetary refund with 50% cancellation charges on the full trek amount.
  3. Cancellation less than 20 days before the starting date of the trek — No monetary refund, get 20% of your fees in a Bhatakna Cupoun only if you have made full payment.
  4. In case you would like to transfer the ticket to the next available batch a minimum of 20% surcharge will be levied on the amount of the trek which is subject to the organizer's decision to provide a transfer before 10 days of trip commencement.
  5. Cancellation in case you don't turn up on trek on time:Not turning up for a trek is completely a participants concern and any kind of refund is not applicable for such cases
  6. Cancellation incase your not well and could not join:Incase you are unwell it is advisable to take rest however kindly note that you can find a replacement for yourself no refund or transfer is applicable incase of any illness or covid cases

Advance Booking amount is not refundable at any cost


Important note 1: The Trek Insurance amount,Train Cancellation charges,Agent charges is not refundable if the trek is cancelled during the last 6 days before the start of the trek on top of regular cancellation charges. In all other cases, the Trek Insurance amount is refunded along with the trek fee.


In the rare event that we cancel a trek, this is the policy we follow:


  1. We almost never cancel our trips. But in case we cancel a trip because of natural calamities (snowstorms, thunderstorms, floods, landslides, earthquakes) or unexpected political unrest, curfews, local riots, or government orders, Bhatakna will not be liable for any refund if the trip schedule from first start point has begun.
  2. Incase the trip did not commence and is cancelled prior to departure full refund will given except for train and bus cancellations
  3. Incase of cancellations of our Sahyadri treks from our end due to no minimum participation you can opt for an event shift or get a full refund of the amount.
  4. Incase of medical emergency or covid cases or emergency issues same refund policy applies as regular cancellation.
  5. Incase the trip is cancelled due to trains or flight cancellations by the airlines or railways or bus issues alternate arrangements if possible will be made incase there is no scope of any arrangements refund will be made based on expensed and bookings made ahead.


Trip Delays and connecting transport failure policies:

  1. Being on road always comes up with its own sets off ups and downs.We always work with the best in industry but there is a possibility that you may face traffic jams or mechanical vehicle failures during the trip which in turn may impact the trip schedule.
  2. In case of any such ontime unavoidable issue may sometimes lead to missing of the connecting trains and flights back Home.In such scenarios trekpanda will help you out making possible alternate arrangements but kindly note that the cost to these arrangements may it be alternate flight, buses or train tickets , Tatkal charges ,Accomodation charges incase the train is booked next day has to be borne completely by the participant and the company wont be providing any kind of compensation for the same.The participant is also free to make his own arrangements at will.
  3. Some times the team might miss the connecting buses or volvos due to traffic jams,natural calamities mechanical failures alternate buses will be facilitated by the organizers but the cost to which has to be borne by the participants.

How to cancel your trek: 

In case, you wish to cancel your trek, follow these steps. 

  1. Send us an email with name and participant details on bhatakna.com@gmail.com only if the booking is liable for any refund as per policies.
  2. You will recieve and email in 24 hours for your cancellation if the booking is liable for refund or transfer.
  3. The cancellation policy will apply from the recieval of email
  4. It takes around 2-5 working days to get your refund back in source account
  5. No on call cancellation queries will be entairtained kindly email for the same
  6. Incase sending replacement it shall be for the same date as you booked for after confirming with us
  7. Incase the booking is not liable for refund as per above policies kindly do not drop email and ask for refund or rescheduling.
  8. Only email will be considered for cancellation and no details provided on phone or any whatsapp message will be considered valid as the cancellation team only responds through email for zero miss communication.
